What is the price of your Visitor Management System?

This question often crops up when an enquiry comes through. Honestly, we would love to quote an exact figure but this is really difficult as every client is different, just as every business is different. The good thing about this means that our system is really fluid and can be customised to each building’s or premise’s need and we charge according to how many customisations there are and how complex the software is going to be. We do not have a fixed cost because we do not have a fixed software for everyone.

For instance, certain premises may not require recording visitors’ identification numbers. This will be a basic Visitor Management system with no frills but still works by identifying each visitor with a QR code generated or a mobile number for registration only. However, the system that requires a QR code generation can still cost more than the system that does not require that due to the hardware involved in scanning a QR code. Requiring to print physical passes is also a consideration as the customisation goes deeper.

Even more complex systems that require pairing of visitors with their vehicles and even group check ins would then cost more than a simple version. Also, the more categories of people the organisation wishes to track, ability to make multiple visits, the more complex the system. For example, the categories can be: Staff, Contract Workers, Guests, VIPs. We also take into account the economies of scale when we quote for a Visitor Management System. Instead of one installation, multiple installations at various sites of a similar system can be very reasonably priced.

We often tell our customers, “Sorry, we really can’t quote till we meet up to discuss your requirements.” This is not to be secretive of our pricing model or being wary that the person on the other end of the line is a competitor.” Really, we need to price it according to your requirements so as not to overcharge you by piling you with loads of features that you do not need.
